At Vorgyroncloxaren, we are committed to ensuring your complete satisfaction with our event and photo zone decoration services. We understand that circumstances may change, and we have established this Return Policy to provide clear guidelines for cancellations, refunds, and service modifications.

This policy applies to all services booked through our website, by phone, email, or in-person consultations. Please read this policy carefully before booking our services. By engaging our services, you acknowledge that you have read and agree to the terms outlined in this Return Policy.

We strive to be fair and transparent in all our dealings with clients. If you have any questions about this policy or need clarification on any points, please do not hesitate to contact us.

2. Service Cancellation Policy

2.1 Cancellation by Client

We understand that plans can change unexpectedly. Our cancellation policy is designed to be fair to both parties while allowing us to manage our resources effectively:

  • Cancellations made more than 30 days before the event date: Full refund of deposit, minus a 10% administrative fee.
  • Cancellations made 15-30 days before the event date: 50% of the deposit will be refunded.
  • Cancellations made 7-14 days before the event date: 25% of the deposit will be refunded.
  • Cancellations made less than 7 days before the event date: No refund will be provided.

All cancellation requests must be submitted in writing via email to our official email address. The cancellation date will be determined by the date we receive your written request, not the date you send it.

2.2 Cancellation by Company

In rare circumstances, we may need to cancel a booking due to circumstances beyond our control, such as supplier issues, staff emergencies, or force majeure events. In such cases:

  • We will notify you as soon as possible.
  • We will offer to reschedule your event to another available date at no additional cost.
  • If rescheduling is not possible, we will provide a full refund of all payments made.
  • We will not be liable for any additional costs or damages incurred due to such cancellation.

3. Rescheduling Policy

We understand that life happens and sometimes you need to change your event date. Our rescheduling policy aims to accommodate these changes when possible:

  • Rescheduling requests made more than 21 days before the original event date: One free reschedule to any available date within 6 months.
  • Rescheduling requests made 14-21 days before the event date: Rescheduling fee of 15% of the total service cost applies.
  • Rescheduling requests made 7-14 days before the event date: Rescheduling fee of 25% of the total service cost applies.
  • Rescheduling requests made less than 7 days before the event date: Subject to availability and a 50% rescheduling fee.

All rescheduling is subject to our availability. We cannot guarantee that your preferred new date will be available. If your preferred date is not available, you may choose from other available dates or proceed with a cancellation as per our cancellation policy.

4. Deposit and Payment Terms

4.1 Deposit Requirements

To secure your booking, we require a non-refundable deposit as follows:

  • Standard decoration packages: 30% deposit required at the time of booking.
  • Custom or large-scale projects: 40% deposit required at the time of booking.
  • Rush orders (less than 14 days notice): 50% deposit required at the time of booking.

Your booking is not confirmed until we receive your deposit. Deposits can be paid via credit card, bank transfer, or other accepted payment methods.

4.2 Final Payment

The remaining balance is due as follows:

  • For events with a total cost under $500: Full payment due 7 days before the event.
  • For events with a total cost $500-$2,000: Full payment due 14 days before the event.
  • For events with a total cost over $2,000: Full payment due 21 days before the event.

Failure to make the final payment by the due date may result in cancellation of your booking, and deposit forfeiture as per our cancellation policy.

5. Refund Process

5.1 Refund Eligibility

Refunds are processed according to the cancellation timeline outlined in Section 2 of this policy. To be eligible for a refund, you must:

  • Submit a written cancellation request via email.
  • Provide your booking confirmation number and event details.
  • State the reason for cancellation (optional but appreciated).

5.2 Refund Timeline

Once we receive and approve your cancellation request, refunds will be processed as follows:

  • Credit card payments: Refunds will be credited to the original card within 7-10 business days.
  • Bank transfers: Refunds will be processed within 10-14 business days.
  • Other payment methods: Refunds will be processed within 14-21 business days.

Please note that your financial institution may have additional processing times beyond our control. You will receive a confirmation email once your refund has been processed.

6. Service Modifications

If you wish to make changes to your booked services (adding, removing, or changing elements of your decoration package), the following terms apply:

  • Modifications requested more than 14 days before the event: Generally accommodated at no additional administrative fee, though pricing may change based on the new scope.
  • Modifications requested 7-14 days before the event: Subject to availability and a 10% modification fee may apply.
  • Modifications requested less than 7 days before the event: Subject to availability and a 20% modification fee may apply.

All modification requests must be submitted in writing. We cannot guarantee that all modification requests can be accommodated, especially for custom-ordered items or specialized materials.

7. Quality Assurance

We take pride in the quality of our work and stand behind our services. If you are not satisfied with any aspect of our decoration services:

  • Please inform our on-site team immediately so we can address concerns during setup.
  • For concerns raised after the event, please contact us within 48 hours with photos documenting the issue.
  • We will review all complaints fairly and may offer partial refunds, credits toward future services, or other remedies as appropriate.

Our quality guarantee does not cover issues arising from venue conditions, client-provided materials, or circumstances beyond our control.

8. Force Majeure

Neither party shall be liable for any failure or delay in performing their obligations where such failure or delay results from circumstances beyond the reasonable control of that party, including but not limited to:

  • Natural disasters, severe weather conditions, or acts of God
  • War, terrorism, civil unrest, or government actions
  • Pandemics, epidemics, or public health emergencies
  • Critical infrastructure failures (power, communications, transportation)
  • Strikes, labor disputes, or supply chain disruptions

In force majeure situations, we will work with you to reschedule your event or provide appropriate alternatives. If the event cannot be rescheduled, refund terms will be discussed on a case-by-case basis.

9. Rental Items

For services that include rental items (props, furniture, equipment):

  • Rental items must be used only for the agreed-upon event and duration.
  • Any damage beyond normal wear and tear will be charged at replacement cost.
  • Lost items will be charged at full replacement cost.
  • A damage deposit may be required for high-value rental items.

Inspection of rental items will be conducted before and after the event. You will be notified of any damage charges within 7 days of the event.
